NexusOne Learning Management System ("we," "our," or "us") is committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our educational platform.

We follow data protection practices aligned with India's Digital Personal Data Protection Act (DPDP Act, 2023) and other applicable privacy laws in the jurisdictions where our partner schools operate.

2.1 Personal Information

  • Students: Name, email, date of birth, grade level, student ID, academic records
  • Teachers: Name, email, phone number, subject specialization, employment details
  • Parents/Guardians: Name, email, phone number, relationship to student
  • Administrators: Name, email, phone number, role, administrative permissions

2.2 Educational Data

  • Assignment submissions and grades
  • Quiz and test results
  • Attendance records
  • Learning progress and analytics
  • Course enrollment and completion data

2.3 Technical Information

  • IP address and device information
  • Browser type and version
  • Usage patterns and platform interactions
  • Log files and system diagnostics

2.4 Mobile Device Permissions (Mobile App)

To deliver educational and school management features, the NexusOne Mobile Application may request explicit access to the following device capabilities:

  • Camera & Photo Library: Used strictly when you choose to take or upload photos of assignment homework, fee payment transfer screenshots (UPI/bank receipts), or user profile pictures. We do not access your photos without user-initiated actions.
  • Location (Foreground & Background): Used strictly for real-time school bus tracking and student transit safety. Location data is only shared during active school transport trips with authorized school administrators and parents, and is never sold or used for marketing.
  • Push Notifications: Used to deliver critical school announcements, timetable updates, fee reminders, and student bus arrival alerts.

We take special care to protect children's privacy. For users under 16 years old:

9. Data Retention

Student Records

Retained for 7 years after graduation or withdrawal

Required for transcript requests and educational continuity

Staff Records

Retained for 5 years after employment ends

Required for reference and legal compliance

Automated Cleanup: Our system automatically anonymizes or deletes data when retention periods expire, while preserving necessary educational records in compliance with legal requirements.

When You Delete Your Account

Your account is deactivated immediately and your personal data is permanently deleted after a 90-day grace period, during which your school can restore it. Fee payments, payroll, marks and attendance are kept with your identity removed, as required for legal, tax and academic record-keeping.

10. Account Deletion

Only you can request deletion of your own account. No other user — including school administrators and parents — can delete your account. A parent or school administrator can only approve a deletion request that a student has made themselves.

How to delete in the app or website

  1. Sign in to the NexusOne app or website.
  2. Open More or Profile and choose Delete Account.
  3. Type DELETE to confirm and submit.

Students: your request goes to your parent or school administrator for approval.

Can't sign in?

Email bhavana@dtabs.tech, anjith@dtabs.tech, tanush@dtabs.tech from the email address on your account, with the subject "Account deletion request", your full name and your school's name. We confirm the request comes from the account owner (or a student's parent) before acting on it.

What happens after you request deletion

  • Your account is deactivated immediately: you are signed out and stop receiving notifications.
  • After a 90-day grace period your personal data is permanently deleted. Until then your school can restore the account if the request was a mistake.
  • After permanent deletion the account cannot be restored.

Permanently deleted

  • Name, email, phone, WhatsApp number, address and other contact details
  • Date of birth, gender and other profile details; student, admission, roll and employee ID numbers
  • Profile photo and uploaded documents, removed from our file storage
  • Health, medical, allergy and vaccination records; counselling, behaviour and discipline notes
  • Emergency contacts, bank details on your profile, and family account links
  • The content and attachments of messages you sent, notifications and registered devices
  • Survey responses, reviews, portfolios, transport and club assignments

Kept by your school, without your identity

These records are required by law or for academic record-keeping. Your name, contact details and ID numbers are removed, so they no longer identify you:

  • Fee payments and receipts — tax and accounting law
  • Payroll records (staff) — tax and employment law
  • Marks, results and attendance — academic records

A minimal note that the account was deleted, and when, is kept as proof we honoured your request.

11. International Data Transfers

Your data is stored and processed on secure cloud infrastructure. If your data ever needs to be transferred across borders, we take reasonable steps to ensure it remains protected, including:

  • Contractual data protection obligations with our service providers
  • Encryption of data in transit and at rest
  • Access restricted to authorized personnel only
  • Your explicit consent for specific transfers, where required

12. Policy Updates

We may update this Privacy Policy to reflect changes in our practices, technology, or legal requirements. We will notify you of significant changes through:

  • Email notifications to registered users
  • Prominent notices on our platform
  • Updated "Last Modified" date at the top of this policy
